Validation failures occur when PMS data does not meet Zentra’s requirements. These records cannot be imported until the issue is resolved. This section explains common validation errors and how to fix them.
Common Validation Errors

Viewing Error Details
When you click on a validation failure:
- The specific field and error displays
- The current value (if any) is shown
- Suggested fixes are provided
Resolution Options
Fix in PMS (Recommended)
The best solution is to correct the data in your PMS:
- Note the specific error and field.
- Update the record in your PMS.
- Run a sync in Zentra.
- The corrected record will import successfully.
This ensures your PMS data is accurate and prevents future issues.
Skip
Leave the item in the queue for later review:
- ClickSkip.
- The item remains in the queue.
- It will reappear on each sync until resolved.
Unmatched Unit Errors
If the error is “Unmatched unit,” the PMS unit is not linked to a Zentra Device. There is no self-service editor for unit matches in this beta:
- Contact Zentra support with the PMS unit name or ID and the Zentra Device it should be matched to.
- Once support adds the match, run a sync – the record will now import.

Duplicate Email Errors
If a PMS resident has the same email as an existing Zentra user:
- This usually indicates a duplicate match, not a validation error
- The record may appear as both a validation error and a duplicate
- Resolve the email conflict first (Resolving Duplicate Residents above ) – the validation error will clear
Data Quality Best Practices
To minimize validation errors:
- Clean up PMS data before enabling integration
- Ensure all residents have complete names
- Verify email addresses are valid
- Confirm unit assignments are current
- Remove test or placeholder records from PMS
Persistent Errors
If an error persists after correcting data:
- Verify the change saved in your PMS.
- Run a manual sync in Zentra.
- Check if the record now imports correctly.
- If still failing, check for other validation issues.
Some records may have multiple errors that must all be fixed.
