Sync Queue Basics

The Sync queue contains records from your PMS that require review, plus a record of items that were processed automatically. This section covers the queue tabs and how to handle each type of item.

Tabs Overview

The Sync queue is organized into five tabs, opened from the
Sync queue
button on the Everyone page. Each tab shows a live count of the items it contains.

Residents no longer active in your PMS
Needs review
Items requiring a decision before they can be applied – duplicate email matches, validation errors, low-confidence resident matches. This tab only appears when at least one item requires review.
Physical credentials are still assigned using the standard Zentra credential workflows after residents are created. There is no separate credential queue item or step. When the PMS mobile credential feature is enabled, residents will receive an invitation to create mobile credentials automatically on the first sync on or after a resident’s lease start date.

Applying Changes

Decisions on individual items are staged, not applied immediately:
  1. Resolve each item in
    Needs review
    (see Resolving Duplicate Residents and Resolving Validation Failures below ).
  2. Click the global
    Apply Changes
    button at the top of the queue.
  3. All staged decisions are applied: new residents are created, updates are applied, and move-outs are processed.

Processing Priority

Recommended processing order:
  1. Validation failures
    – Fix blocking issues first
  2. Duplicates
    – Prevent confusion from duplicate records
  3. Move-outs
    – Keep deactivations timely

Filtering the Queue

Use the tabs described above to focus on one type of item at a time. This helps you work through validation failures, then duplicates, then move-outs, without switching context.
